Administrative Assistant III
University of Central Florida is a next-generation public research university and Forbes-ranked top employer in Florida, and they are seeking an Administrative Assistant III to provide personalized professional and administrative support to fundraising staff. This role is integral to the success of UCF’s fundraising initiatives, handling complex scheduling, travel coordination, donor-related data and correspondence, and event support.

Responsibilities
Provide advanced calendaring support for multiple development officers, including meeting and event scheduling and coordination of travel arrangements
Create spreadsheets, charts, and maintain donor and prospect database information, including drafting contact and status reports
Draft, edit, and distribute professional correspondence, presentations, announcements, and donor communications
Assist with planning and coordinating fundraising events, advisory board meetings, and college-related engagement activities. Manage logistics such as agendas, catering, gifts, and meeting minutes
Process payment authorization forms, credit card statements, and other documentation for submission to Foundation Accounting, ensuring accuracy and timeliness
Support budget preparation by gathering data for projections and monitoring expenses. Assist with purchasing tasks, vendor relations, requisitions, and invoice approval
Track scholarship recipients and fund distributions, coordinate donor/recipient meetings, and assist with financial reporting related to donor funds
Serve as a liaison with internal UCF stakeholders, external partners, and industry associations
Act as a resource for state, university, and division procedures
Qualification
Required
High School Diploma or Equivalent and 4+ years of relevant experience, or an equivalent combination of education and experience pursuant to Fla. Stat. 112.219(6)
Preferred
Demonstrated experience supporting multiple executives or development officers in a fast-paced, complex environment
Advanced skills in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and comfort with donor databases or CRM platforms
Strong written and verbal communication skills with the ability to draft professional correspondence and reports
Proven ability to manage budgets, purchasing processes, and financial documentation with accuracy
Experience planning and coordinating events, including logistics, scheduling, and vendor management
