The Manager – CEO Office will provide strategic and operational support to the CEO by managing priorities, coordinating across teams, and ensuring effective execution of key initiatives.

Responsibilities

Manage and optimize the CEO’s calendar, meetings, and travel
Anticipate scheduling conflicts and prepare meeting materials
Schedule and coordinate internal and external meetings (board, donors, leadership)
Prepare agendas, meeting briefs, and documentation
Record and circulate Minutes of Meetings (MoMs) and track action items
Maintain Action Tracker Reports (ATR)
Coordinate with teams to gather updates and report progress to the CEO
Draft and proofread official correspondence, reports, and presentations
Ensure professional communication aligned with organizational goals
Handle sensitive information with confidentiality
Create high-quality PowerPoint presentations for internal and external stakeholders
Analyze and present data clearly for decision-making
Act as a liaison between the CEO and internal teams
Consolidate reports and insights for strategic planning
Perform other tasks as assigned by the CEO

Required

Bachelor's or Master's degree in Business Administration, Communications, or a related field
Minimum 3 years' experience as an Executive Assistant or similar role supporting senior leadership
Proficiency in MS Office (Excel, Word, PowerPoint, Outlook)
Strong business writing, reporting, and presentation skills
Excellent verbal and written communication skills
High professionalism, integrity, and discretion
Strong organizational and time-management abilities
Ability to multitask, work under pressure, and meet deadlines
Detail-oriented, proactive, and solution-focused

Preferred

Prior secretarial or CEO office experience
Experience in non-profit or healthcare organizations is an advantage
Familiarity with governance and strategic planning
