Customer Service Production Facilitator

Marc Phillips Decorative Rugs specializes in luxury handmade rugs and is seeking a Customer Service Production Facilitator to support their sales team and clients. This role involves managing custom projects, ensuring communication between clients and the sales team, and overseeing the entire order process from inquiry to delivery.

Responsibilities

Communicate with clients and the sales team to support active projects and ongoing needs
Provide check-ins, share new leads, and deliver attentive follow-up
Oversee the full custom order process—from inquiry through production and delivery
Use Salesforce/CRM to document interactions, project notes, timelines, and order details
Coordinate with domestic and international mills to confirm specs and production timelines
Track production status and maintain accurate order records for team visibility
Upload documents, update project stages, and manage tasks in the CRM system
Prepare quotes, create sales orders, and support the Sales Team with client communications
Communicate with vendors on production updates, shipping schedules, and issue resolution
Assist with client presentations and sales materials
Foster positive relationships with clients, suppliers, and industry partners
Generate CRM/Salesforce reports for workflow tracking and follow-up
Perform administrative support including scanning, filing, email management, and showroom assistance
Handle incoming calls and emails, and greet clients in the showroom
Coordinate domestic and international shipments (DHL, UPS, etc.)
Contribute to a positive, collaborative work environment

Required

2–4 years in customer service, production coordination, project management, or operations—ideally in interior design, textiles, or luxury furnishings
Excellent verbal and written communication skills
Highly organized with strong follow-through and ability to manage multiple projects
Effective problem-solving skills and comfort navigating detailed workflows
Knowledge of textiles, rug construction, or color theory is a plus
Proficient in Microsoft Office; comfortable with Mac OS
Experience with Salesforce or similar CRM/production systems
Able to work independently and collaboratively
Professional, positive, and detail-oriented
Strong team-player mindset
