Board Secretary
Davenport Community Schools is seeking a Board Secretary responsible for ensuring the integrity of the board’s processes. This role involves managing official records, facilitating public meetings in compliance with Iowa Open Meetings Law, and performing statutory duties related to district elections and financial reporting.
Primary/Secondary Education
Responsibilities
Serve as the primary custodian of records and the bridge between the Board of Directors, the district administration, and the Iowa Department of Education
Preserve and maintain the official school district records and documents pertaining to the business of the Board to comply with Iowa laws, current policy and audit trail compliance
Prepare for, attend and take minutes for all board related meetings to include exempt, closed, regular and committee of the whole meetings
Create and publish all legal notices concerning district business and board meeting minutes
Prepare the board agenda and packets with the Superintendent and ensure compliance with all laws in regard to posting board meetings
Prepare and submit a variety of reports for the Board of Education
Compile and analyze data from a variety of sources for the purpose of complying with legal requirements, providing necessary documentation of board action, policies and legal matters
Respond to inquiries from board members and a variety of internal and external parties for the purpose of providing information, facilitating communication among parties and/or providing direction
Work with the county auditor’s office to prepare election materials, report the canvass of votes, manage records of results of all regular and special elections
Update and maintain board policies and website
Coordinate meetings and activities on behalf of board committees
Provide assistance to the Superintendent as requested
Perform other duties as assigned
Qualification
Required
Previous experience as a secretary or executive assistant to senior management or board of directors required
Proficient in Microsoft Word, Excel, PowerPoint, and Google docs required
Preferred
An Associate's Degree in Business Administration, Finance, or related field is preferred
Strong familiarity with Iowa Code Chapters 21 (open meetings) and 22 (public records)
Proficient in board management software (i.e. Simbli, Board Docs) and Microsoft Office Suite
Exceptional written and verbal communication skills; ability to remain neutral and professional in high pressure public environments
Proven experience at taking the initiative to accomplish projects
Willingness and ability to cross-train within the department, multitask, and adapt to change
