Scheduling & Operations Coordinator (Temporary)
LOT Management is a family-owned commercial property maintenance company serving industry-leading commercial property owners and managers across California, Nevada, and the Southwest United States. They are seeking a Temporary Scheduling & Operations Coordinator to support the San Diego region’s general property division while covering a leave of absence, managing and optimizing service scheduling across the region to enhance operational efficiency and profitability.

Responsibilities
Strategically schedule jobs based on geographic efficiency and technician skills to maximize productivity and minimize travel time
Maintain and manage work orders in scheduling systems, ensuring accuracy and timeliness
Facilitate communication between field technicians, subcontractors, and internal teams
Support procurement, reporting, and auditing processes related to work orders and project documentation
Assist project management with work order accuracy, cost tracking, and documentation
Review electronic time sheets and balance job costs with worked hours
Update the accounting department on the completion of work orders
Maintain organized records of scheduling changes, cost codes, and operational documentation
Prepare and submit scheduling and operations reports as required
Qualification
Required
Minimum of 3 years of recent experience in a maintenance or construction-related industry, strongly preferred
Strong understanding of scheduling, operations, and construction/maintenance workflows
Familiarity with San Diego geography or the ability and willingness to learn the region quickly
Exceptional organizational skills and attention to detail
Excellent communication skills with subcontractors, field personnel, and internal teams
Proven ability to manage multiple tasks and priorities in a fast-paced environment
Proficient with MS Office Suite, Zoho, Sage, and Crystal Reports
Preferred
Experience with work order management systems
Basic understanding of project costing and administrative reporting
