Clinical Support Specialist

The Headstrong Project is a non-profit mental health organization focused on providing confidential and stigma-free PTSD treatment to veterans and their families. The Clinical Support Specialist plays a vital role in supporting the clinical operations team through administrative tasks, managing data accuracy, and facilitating clinical training logistics.

Responsibilities

Provide general administrative support to the clinical operations team to enhance workflow and efficiency
Assist the Director of Clinical Systems in implementing clinical system processes and maintaining system functionality
Collaborate with the revenue team to prepare grant submissions and reports by responding to data requests
Conduct regular data audits and clean-up to ensure the clinical platform maintains accurate and reliable information
Coordinate and manage calendars for the clinical operations team to support scheduling needs
Support THP’s clinical training program by organizing webinars, providing in-session assistance, maintaining records, and tracking continuing education credits
Serve as primary point-of-contact for email inquiries received through the website that are not client or clinical partner-related
Serve as backup to the Director of Clinical Systems for troubleshooting system issues and managing billing issues or responding to portal requests by clinical partners
All other duties as assigned

Qualification

Required

Bachelor's degree from an accredited college or university in a mental health or related field
A minimum of two years experience working in a clinical setting, including work with military or veteran populations
Experience working with an EHR or CRM including running reports
Strong data literacy skills
Strong communication, prioritization, and decision-making skills
Competence to build and effectively manage interpersonal relationships at all levels of the company
Clinical judgment including knowledge of HIPAA and professional ethics

Preferred

Leadership abilities with skills in team-building, consultation, and conflict resolution
Ability to work independently and as part of a team
A strong connection to, and passion for, supporting the military community
Enthusiasm and passion for evidence-based trauma treatment
Capacity for flexibility and adaptability in different work situations
Ability to work well with diverse populations
Developed skill set for collaborating and generating creative problem-solving with internal and external professionals and providers
Strong written, verbal, and presentation skills
Knowledge of Salesforce
