Responsibilities

Oversight for state allocated budgets for all units and departments directly under the Sr. VP for Academic Affairs
Manage foundation budgets for the Sr. VP for Academic Affairs and oversight of VPAA unit foundation accounts
Posting and tracking of Provost University-wide commitments. Reconcile monthly reports for AVP review
Review monthly reconciliation of Academic Affairs operating and program funds provided by the Fiscal Affairs Professional
Quarterly review of VPAA unit budgets
Coordinate quarterly budget meetings with the Directors, Associate Provosts, and business support staff for Academic Affairs units. Provide quarterly updates to Associate VP for Academic Fiscal Affairs
Work with Sr. Director of Instruction Fiscal Affairs to coordinate monthly financial meetings with both VPAA and VPI business manager
Provide guidance on UGA policies and procedures for financial and budget matters
Student Tech Fee, IDC, and merit funding and distribution
Serves as the chief fiscal lead for all VPAA units
Prepare budget journals and journal entries for the VP for Academic Affairs and University-wide funds
Provide support to the Fiscal Affairs Professional
Provide signature authority for the Sr. VP for Academic Affairs on check requests, purchase orders, budget journals, funding adjustments, leave requests, and foundation check requests
Provide reports as needed for various VPAA administrators
Provide backup for the Associate VP for Academic Fiscal Affairs and Fiscal Affairs Professional when needed
Work closely with the Associate VP for Academic Fiscal Affairs during annual budget development: Maintain up to date financial reports for budget planning process to provide strategic input on allocation of budgets each year
Prepare and distribute all budget materials to assigned VPAA units
Organize all completed data from units and reconcile before reviewing with AVP and submitting to the Budget Department
Represent the Sr. VP for Academic Affairs on various committees and working groups to include: Chief Business Officers group, Student Technology Fee committee, Reporting work group, BSAG, New ERP system

Required

Bachelor's degree in a related field or equivalent plus 12 years of professional experience to include 5 years of supervisory experience
Extensive knowledge of UGA Financials, Budget Systems, and Foundation fund management, including reporting, analysis, and compliance requirements
Thorough understanding of UGA policies, procedures, and administrative guidelines, particularly those related to finance, budgeting, and academic operations
Strong knowledge of financial planning, budgeting methodologies, and strategic resource allocation within a higher education environment
Understanding of process improvement principles and operational best practices for academic and administrative units
Proficiency in Excel, including pivot tables, charts, and data analysis
Strong financial reporting and data interpretation skills
Excellent written and verbal communication skills, including the ability to present information clearly to various audiences
Effective leadership and collaboration skills, with the ability to guide teams and represent VPAA in high-level campus groups
Strong organizational skills and a high level of attention to detail
Ability to develop, implement, and assess strategic financial initiatives that align with academic priorities
Ability to manage multiple complex projects simultaneously, setting priorities and adjusting to evolving demands
Ability to work effectively under deadlines, ensuring timely and accurate deliverables
Ability to identify, recommend, and implement process improvements across financial and administrative functions
Ability to build strong partnerships with campus stakeholders involved in budgeting, finance, and reporting
