Executive Admin Assistant

VEKA is a manufacturer of PVC profiles with over 900 employees in four US locations, seeking a dynamic Executive Administrative Coordinator for its headquarters in Fombell, PA. This role provides high-level administrative and strategic support to executive leadership, including calendar management, travel coordination, and preparation of presentations and reports.

Responsibilities

Provide executive-level administrative support including calendar management, travel coordination, and hands on meeting logistics
Anticipate priorities, manage deadlines, and ensure timely follow-up on executive actions
Prepare presentations, reports, and confidential correspondence for senior leaders and board meetings
Coordinate logistics for visiting employees, guests, and executive events; manage hotel and travel relationships
Maintain corporate records and assist with tax filings, government forms, contracts, and compliance documentation
Support accounting and finance activities including wire transfers, commissions, and executive communications
Identify process improvements and leverage Microsoft 365 tools to increase efficiency
Partner with HR, Finance, Marketing, and leadership on special projects and initiatives

Required

Exceptional written and verbal communication skills
Advanced proficiency in Microsoft Outlook, Word, Excel, PowerPoint, and SharePoint
Strong organizational skills with the ability to manage multiple priorities independently
High level of professionalism, discretion, and attention to detail
Education: Associate or Bachelor's degree, or equivalent executive administrative experience

Preferred

Experience with online banking, SAP, Concur, or project tracking tools is a plus
Strategic mindset with a proactive, problem-solving approach
