Administrative & Program Support Specialist
Jackson County Community Long-Term Recovery Group (JCC LTRG) is focused on building an equitable and responsive disaster services network. The Administrative & Program Support Specialist provides reliable support to leadership and program workgroups, handling administrative tasks, supporting meetings, and managing program logistics.
Responsibilities
Provide administrative support to JCC LTRG leadership
Manage calendars and schedule meetings and appointments
Support email communications, including inbox triage and follow-up
Prepare and distribute meeting materials, including agendas, minutes, reports, and follow-up actions
Create and format presentations, basic outreach materials, and reports using tools such as Google Workspace and Canva
Draft and proofread correspondence, reports, and internal communications
Maintain organized digital and physical filing systems
Manage and update contact lists, partner directories, and distribution lists
Prepare reports and other documents for leadership meetings and events
Support board operations as directed by the Executive Director, including meeting logistics, hospitality, and preparation of board materials
Support logistics for meetings, workshops, and events
Communicate with internal teams and external partners using shared platforms and virtual meeting tools
Perform other administrative duties as assigned
Track organizational expenses and reimbursements
Assist with invoice tracking and payment processing
Maintain accurate and up-to-date billing and invoice documentation
Prepare and compile expense reports for review and submission

Qualification
Required
Minimum 2 years of experience in an administrative, executive support, or similar role
Demonstrated ability to manage calendars, schedule meetings, and support meetings across multiple teams or projects
Experience or familiarity with bookkeeping, expense tracking, or basic accounting practices
Strong organizational and time management skills with close attention to detail
Clear written and verbal communication skills
Experience creating presentations, reports, or outreach materials using tools such as Canva or similar platforms
Ability to handle confidential and sensitive information with professionalism and discretion
Ability to work independently while contributing to a collaborative team environment
Capacity to manage multiple competing priorities effectively
Intermediate proficiency with office software, including Google Workspace or Microsoft Office, and virtual meeting platforms such as Zoom
Commitment to respectful and inclusive work practices
Ability to work in both office and remote settings and attend in-person community meetings as needed, including occasional evenings or weekends
Valid driver's license, access to a vehicle, and ability to obtain automobile insurance
Successful completion of required background checks
Preferred
Bilingual in English and Spanish; bicultural experience valued
Bachelor's degree in Communications, Business Administration, Public Administration, or a related field, or equivalent professional experience
Familiarity with post-disaster recovery, including community rebuilding, resource coordination, or housing-related programs
Experience supporting accounting or financial management functions, with accuracy in record-keeping and reporting
