Open Tech Alliance is seeking a dynamic and detail-oriented International Operations & Logistics Coordinator to join their global supply chain team. The role involves overseeing and optimizing international logistics processes, coordinating cross-border shipments, and ensuring seamless supply chain operations worldwide.

Responsibilities

Coordinate international shipments via air and ground carriers

Prepare, review, and maintain international shipping documentation, including commercial invoices, packing lists, bills of lading, and certificates of origin

Communicate with freight forwarders, customs brokers, carriers, overseas partners, and customers

Track shipments and proactively resolve delays, damages, or discrepancies

Ensure compliance with international shipping standards, regulations, and trade requirements

Perform regular inventory validations with domestic and international warehouses

Reconcile inventory discrepancies and investigate variances

Maintain accurate inventory records within internal systems

Request, analyze, and compare international shipping quotes from carriers and freight forwarders

Prepare and process invoices for international hardware orders

Verify shipping and invoicing accuracy prior to customer billing

Work directly with customers and sales teams to ensure products are paid for prior to shipment release

Track, follow up on, and confirm receipt of international payments, escalating issues as needed

Review and approve DocuSign agreements created by the sales team for accuracy and completeness

Review and approve sales orders created by the operations team

Ensure order details—including pricing, quantities, foreign currency amounts, shipping terms (Incoterms), delivery dates, and compliance requirements—are accurate prior to release

Identify discrepancies and coordinate corrections with sales, operations, and finance teams

Collaborate closely with sales, operations, warehouse, finance, and compliance teams

Support internal audits related to inventory, shipping, order accuracy, and payments

Assist with continuous improvement initiatives for shipping, inventory, and order management workflows
