Property Operations & Administrative Coordinator
Confidential is seeking a highly organized and dependable Property Operations & Administrative Coordinator to manage multiple residential homes and industrial properties. The role involves overseeing property management, vendor coordination, and providing administrative support for both business and personal matters.

Responsibilities
Oversee daily operations of multiple residential and industrial properties to ensure they are well-maintained, safe, and efficiently managed
Act as the main point of contact for tenants: coordinate lease renewals, move-ins/outs, rent collection, inspections, and maintenance requests
Source and negotiate service agreements with vendors (landscaping, trash removal, pest control, cleaning, HVAC, and other property services)
Schedule and monitor property maintenance, repairs, and improvement projects
Conduct property inspections and follow up on any maintenance or safety concerns
Maintain accurate records of leases, vendor contracts, expenses, and maintenance logs
Track property-related expenses and assist with simple budget and payment management
Ensure compliance with all local regulations and safety requirements
Identify and evaluate cost-effective vendors and contractors
Solicit and compare bids to ensure quality work at the best possible rate
Maintain ongoing communication with vendors to confirm scheduling, completion, and service quality
Create and maintain an organized database of preferred and backup service providers
Resolve any vendor issues promptly and professionally
Coordinate scheduling for meetings, appointments, and property-related events
Organize travel arrangements including flights, accommodations, and itineraries
Maintain organized records, correspondence, and digital files for both property and general administrative matters
Prepare and track invoices, purchase orders, and expense reports
Assist with correspondence, follow-ups, and communication between tenants, vendors, and other professionals
Manage calendars, reminders, and timelines for key deadlines (leases, renewals, contracts, etc.)
Support occasional personal or household-related projects and errands as needed
Handle sensitive information with confidentiality and professionalism
Qualification
Required
Minimum 3 years in property management, real estate operations, or facilities coordination
Strong organizational and multitasking abilities
Skilled in negotiating and managing vendor relationships
Excellent written and verbal communication
Tech-savvy with proficiency in Microsoft Office, Google Workspace, and property management or task-tracking software
Basic financial acumen for tracking expenses and budgets
Valid driver's license and reliable transportation
Ability to respond to urgent property or scheduling needs after hours when necessary
High level of integrity and discretion
Preferred
Associate or Bachelor's degree preferred (in Business Administration, Real Estate, or a related field)
Experience with administrative support or operations management is a strong plus
