QC Servion is building an ecosystem of innovative brands and collaborative teams. The Project Administrator provides high-level administrative, organizational, and operational support to ensure project execution and accountability across the company and its affiliates.

Responsibilities

Provide direct administrative and organizational support to senior leadership, including calendar management, coordination, and handling sensitive and confidential information
Proactively manage priorities, ensuring key tasks, meetings, and deliverables stay on track
Reduce administrative burden by anticipating needs and resolving issues independently where possible
Track tasks, deadlines, and follow-ups across multiple projects and initiatives; ensure timely execution and accountability
Actively follow up with stakeholders and put yourself in front of teams to move work forward
Coordinate cross-functional efforts across QC Servion and affiliated entities to support project execution and reporting needs
Research, problem-solve, and navigate ambiguity to help projects progress, using sound judgment and trial-and-error when needed
Build, improve, and maintain processes, templates, and shared repositories (e.g., SharePoint), without reliance on IT
Organize documentation and reporting materials to ensure accuracy, accessibility, and consistency
Reformat and refine templates, documents, and presentations as needed for leadership and cross-team use

Required

5–6 years of relevant experience in Administrative, Project, or Operational Support roles, ideally in fast-paced or growth-stage environments
Bachelor's degree in Business Administration, Project Management, or related field
Strong administrative and organizational skills, with experience supporting senior leaders and managing dynamic priorities
Proven ability to work independently, build processes from scratch, and exercise good judgment with limited direction
High level of discretion and experience handling sensitive and confidential information
Excellent follow-up, task tracking, and time-management skills
Proficiency in Microsoft Office (Excel, Word, Outlook, PowerPoint) and strong comfort with SharePoint and similar collaboration tools
Tech-savvy and comfortable learning new systems; able to leverage AI tools meaningfully for research, drafting, and problem-solving
Strong communication skills and the confidence to engage cross-functionally to get the right people in the room

Preferred

Experience in IT, technology, engineering, or similar technical environments
Experience working across multiple teams or entities
Comfort operating in ambiguity and pushing beyond your comfort zone to get work done
Willingness and ability to flex as needs evolve and responsibilities grow
