Temporary Bookkeeper/Office Administrator

Responsibilities

Perform daily bookkeeping tasks, including writing checks and making ACH entries for personal, family, and foundation accounts
Manage invoices and payments for various entities
Maintain strict awareness of account balances and communicate funding needs proactively
Handle property tax bills, tax estimates, and life insurance policy payments
Receive and accurately enter rent payments for light industrial properties, ensuring funds are deposited
Utilize remote check deposit systems
Download and manage electronic copies of brokerage and bank statements
Ensure timely and accurate entry of all financial transactions
Manage and organize physical and electronic filing systems
Process incoming and outgoing mail and packages
Assist in organizing the office and managing workflow
Communicate periodically with tenants regarding property-related matters (e.g., irrigation, snow removal)
Create and maintain detailed work instructions to streamline processes
Provide support for special projects as needed
Handle highly sensitive financial information, including bank statements for various trusts and entities, with the utmost integrity and confidentiality

Required

Proven experience in bookkeeping and strong administrative support roles
Exceptional attention to detail and accuracy
Highly organized and capable of managing multiple tasks and entities efficiently
Excellent written and verbal communication skills, with the ability to interact effectively with multiple stakeholders
Proficiency with ACH entries and remote check deposit systems
A self-starter who takes initiative and is proactive in managing responsibilities
Ability to maintain calendars and documentation for continuous process improvement
Integrity and discretion when handling confidential information are paramount
