Planning Assistant, Network

The Planning Assistant provides essential administrative support for senior professionals and committees within the Network Department, ensuring operational excellence and collaboration across the team.

Responsibilities
Provide administrative support for 2-3 Network committees, including Agency Oversight and Network Planning committees, including:
Onboarding and rotation process for lay leaders
Developing and distributing meeting materials
Managing aspects of the meeting, including preparing agendas, liaising with FRD colleagues, food orders, AV, Zoom and preparation of meeting minutes
Provide calendar support for the managing director and three senior professionals in the department
Oversee the management of the team’s files in SharePoint, ensuring that our documents are easily accessible and up-to-date
Coordinate with Operations team to manage and track departmental grants, vendor contracts, and payments
Assist the team in tracking and managing UJA’s relationships with core partners, including:
Managing distribution lists and ensuring they are updated and accurate
Tracking and managing the onboarding process for new CEOs in UJA’s network
Assisting with planning and running Exec Net, a quarterly gathering of all UJA’s core partner executive directors
Coordinating external site visits at partner organizations for lay leadership and professionals
Contribute as needed to the various projects connected to other departments in UJA
Qualification
Required
Bachelor's degree
Ability to be flexible as responsibilities change to meet shifting needs
Very strong attention to detail
Excellent technical skills including Excel, Word, and PowerPoint
Ability to learn new systems, tools and software quickly
Strong customer service orientation, including good written and verbal communication
Strong interpersonal skills and ability to collaborate effectively with different personalities
Proactive in identifying problems and takes initiative in finding solutions
Interest in the non-profit sector
