Responsibilities

Responsible for managing complex calendaring, arranging travel, processing expense reports, coordinating video conferences and internal/external meetings, documenting staff meeting minutes with actionable items, and demonstrating the capacity to quickly acquire new technologies
Maintain strict confidentiality and handle sensitive materials securely across all management levels in a consistently professional manner
Superior interpersonal and written/oral communication skills are essential for effective interaction with both internal stakeholders and external partners; ability to lead through influence and continuously refine administrative processes is required
May draft correspondence and communicate information on behalf of the manager as needed
Develop and prepare routine presentations, memorandums, and reports for review and approval; proficiency in working with financial or budget headcount reporting systems to produce tracking reports is necessary
Oversee purchasing approvals and authorizations on behalf of the supervisor, exercising designated spending authority in accordance with established guidelines

Required

High School Diploma required
5+ years' administrative experience
Excellent planning and organizational skills with attention to detail
Demonstrated accuracy and speed in the use of standard office tools including Word, Excel, and PowerPoint
Ability to be resourceful, obtain information from the Intranet, learn new software programs quickly
Excellent interpersonal skills (team player)
Excellent (oral and written) communication skills

Preferred

Associate's Degree or Bachelor's Degree
A strong understanding of Novartis Pharmaceuticals Organizational policies and procedures is a plus
