Administrative Assistant
IDOM USA is an employee-owned international engineering, architectural and consulting firm seeking a strong administrative professional to support their local office. The role primarily involves supporting engineering processes and general administrative functions, including coordinating project initiation and enhancing communication between stakeholders.
Responsibilities
Collect, file, and maintain inspection data including calculations, and field files
Gain knowledge of policies and procedures related to client overhead material handling processes
Coordinate project initiation and scheduling by working with clients, engineers, and consultants to define scope, gather data, set timelines, and secure funding or charge numbers
Act as a liaison between the Customer, Contractors, and Engineers to enhance communication and coordination for required services
Strive to deliver the level of customer service that our customers and engineers expect and deserve
Works to enhance the communication of policies and procedures to our costumers and engineers
Other duties as needed, such as support first day onboarding and ordering supplies
Qualification
Required
4 years of related experience in a customer service, customer focused construction, engineering, or technical setting
Proficiency with Microsoft products, such as Word, SharePoint, and Excel
Previous administrative experience collecting data and maintaining digital files
Strong Organizational skills, both calendar management, and maintaining digital and physical files
Ability to Multi-Task, prioritize tasks, and meet deadlines
Preferred
AEC Industry experience
