Responsibilities

Maintain records for major construction contracts to support billing preparation using prescribed methods (including AIA formats) and submit all required documentation such as prevailing wage certified payrolls, owner documentation, and waivers. Owners include NY MTA/LIRR, Port Authority of NY & NJ, NJ Transit, AMTRAK, U.S. Navy, Washington Metro, SEPTA, MBTA, and private clients
Collect and verify all required subcontractor documentation and review certified payroll reports to ensure compliance with prevailing wage regulations
Prepare daily cash receipt deposits for ACHs, wires, and checks across multiple accounts, including posting transactions in Vista Viewpoint accounting software
Prepare and mail monthly customer statements
Manage collection calls and follow up on weekly invoice receipt confirmations
Perform time-and-material billing and price lump-sum change orders for ongoing projects
Maintain and update union and non-union billing rates for time-and-material billing
Communicate with project management staff to ensure compliance with accounting procedures
Assist with job cost tracking and monthly cost reviews to ensure projects remain profitable
Enter all project information sheets into Vista Viewpoint for job creation

Required

High school diploma or GED required

Preferred

associate degree or coursework in accounting, finance, or construction management
Understanding of invoicing, billing processes, and recordkeeping
Familiarity with intercompany billing
Basic knowledge of prevailing wage concepts and certified payrolls, or willingness to learn
Proficiency with Microsoft Excel including VLOOKUP and Pivot Tables
Ability to communicate clearly with project managers, subcontractors, and customers via email and phone
