Responsibilities

Coordinate daily tutoring operations across all zones, ensuring alignment with departmental standards and service goals
Oversee scheduling, resource allocation, and internal communications functions previously unassigned to maintain smooth workflows
Serves as a primary point of contact for internal and external stakeholders, facilitating timely information exchange and supporting collaboration across departments and service providers
Supports departmental operations by preparing meeting materials, maintaining accurate records and files, coordinating projects, responding to staff inquiries, and ensuring effective internal and external communication
Independently designs, implements, and refines administrative processes, forms, and workflows to improve operational efficiency
Develops and maintains standard operating procedures (SOPs), trains staff on new processes and evaluates their effectiveness for continuous improvement
Manages supplies and equipment, handling mail distribution, and document archiving
Develops, manages, and maintains service-related databases to produce reports that inform departmental decision-making, particularly related to tutoring engagement, student attendance, and Navigate Early Alerts
Analyzes disaggregated student data and structures reports to guide operational and strategic decisions
Improves data accuracy by identifying and correcting reporting and data entry issues and refines Navigate Early Alert and tutoring reports to better inform outreach and student support strategies
Monitors platform updates and independently integrates changes into training materials and workflows to ensure continued alignment with departmental goals and service delivery standards
Manages departmental budgets and authorizes expenditures, including developing the annual tutoring budget and approving supply purchases in alignment with departmental priorities
Coordinates vendor relationships and facility maintenance to ensure a safe, organized, and functional workspace
Coordinates travel and reimbursement processes for departmental staff, managing logistics and required documentation for external events
Serve as the primary administrator for Accudemia and Brainfuse platforms
Design training materials, lead onboarding for new staff, and provide ongoing technical support
Present system updates during pre-semester meetings and ensure staff proficiency in platform use
Supervises and trains Student Support Assistants (SSAs), including scheduling, task assignments, ongoing coaching, and performance feedback
Develop an SSA handbook to standardize onboarding and expectations
Designs and delivers training sessions for staff, tutors, and student workers based on identified operational needs
Evaluates training effectiveness by tracking outcomes and adjusting content to address observed gaps in performance and data quality
Make independent decisions regarding student outreach and engagement related to Navigate Early Alerts
Exercises independent authority to modify internal processes based on performance data and feedback, including adjusting Early Alert follow-up protocols to improve student response and engagement
Implement timely, personalized outreach protocols tailored to alert type, urgency, and student needs to improve response rates and success outcomes

Required

Thirty-six months (36) of clerical experience as listed above, performed as the primary function of the job
Daily interaction with students, faculty and staff require that this position have strong problem solving, interpersonal, communication and organizational skills
Critical thinking skills is a must
Computer literacy is a must
Effective verbal and written communication skills are necessary for success in this position
