Project Coordination Intern

The Project Coordination Intern will assist the project coordination team in organizing and managing office duties, primarily performing administrative tasks.

Responsibilities
Assist in maintaining the project filing system and organization of project files both physical and digital
Answer phone calls and take messages
Review Invoices for accuracy within 24 hours of receipt
Confirming tax codes & Deliveries
Assist in communicating with Customers regarding: Job information sheets, COD forms, Collecting Credit Card payments, Credit applications, Confirming site contact information and delivery address
Conduct Project closeouts
Updates data in HubSpot and logs visits and activities as needed
Update tracking report for Castings, Hatches, and Job-Specific items purchased for projects with purchase requests
Upload PM catches into the Quality Tracking spreadsheet and notifies the Project Manager Supervisor of common occurrences
Complete Job specific paperwork: DOTD, LCG, EBR, Etc
Assists PCs with any job-related forms/documentation required
Assist with job orders and work orders as instructed
Attend Change of Hands meetings, take notes, and provide summary of action items
Perform other related duties as assigned
Qualification
Required
Self-motivated, positive attitude, and helpful
Excellent communication skills; both oral and written
Computer skills (i.e., Excel, Office, Word.)
Customer service oriented
Excellent interpersonal and customer service skills
Excellent organizational skills and attention to detail
Excellent time management skills with a proven ability to meet deadlines
Ability to prioritize tasks and delegate them when appropriate
Strong analytical and problem-solving skills
Frequently required to sit at a desk, occasionally required to walk and stand
Must frequently lift and/or move up to 25 pounds
Must have good vision and can look at a computer screen for a long period of time
Specific vision abilities required by this job include vision, distant vision, and color vision
Depth perception and ability to adjust focus
