Responsibilities
Greet and validate visitors, issue badges, assist with parking, and support security during check-in
Serve as a concierge for guests, clients, and staff; provide tours and local recommendations
Coordinate meeting rooms: scheduling, set-up, supplies, catering, and basic audio-visual assistance
Prepare for key client visits, including workspace readiness and signage
Assist with client travel arrangements when needed
Support company activities such as events, group functions, and department meetings
Perform clerical and reception tasks including copying, mail services, shipping/receiving, sorting, and distribution
Maintain and update phone and speed-dial lists
Provide backup support to Executive Assistants and executive-level client-facing staff
Create proposals in customer systems and assist in print production tasks
Coordinate vendors for special projects
Assist with daily facilities management and other assigned duties
Stand to engage with employees and guests when required; lift up to 50 lbs
Qualification
Required
High school diploma or equivalent
1–3 years of experience in a similar or related role; headquarters environment preferred
Strong customer service and communication skills
Professional demeanor with effective problem-solving abilities
Proficiency with Microsoft Office and audio-visual equipment
Ability to work with minimal supervision
Ability to stand for portions of the day and lift up to 50 lbs
