Executive Assistant

Responsibilities

Proactively manage complex calendars for multiple executives and senior leaders, including the COO and CEO, anticipating conflicts, prioritizing requests, and resolving scheduling issues
Coordinate internal and external meetings, including preparation of agendas, materials, and follow-up action items
Draft, format, and distribute professional correspondence, memos, reports, presentations, and executive briefing materials
Maintain strict confidentiality when handling sensitive personnel, financial, legal, and commercial information
Create and maintain organizational charts and executive reference materials
Support leadership team meetings and cross-functional operating meetings across BAB and BB
Assist with Board, investor, or strategic partner meetings as needed, including logistics, materials, note-taking, and on-site coordination
Provide light project management support for priority initiatives, including tracking timelines, action items, and deliverables
Capture, organize, and track information from multiple stakeholders to support executive decision-making and execution
Facilitate coordination between Operations, HR, Finance, and Sales & Marketing teams
Provide administrative and logistical support to the Sales and Marketing team, including scheduling customer meetings, distributor calls, and internal commercial reviews
Support planning and execution of sales meetings, customer visits, and go-to-market activities
Coordinate logistics for conferences, trade shows, and industry events, including registration, travel, shipping of materials, booth setup, and on-site support
Liaise with external vendors, conference organizers, and marketing partners to support promotional and event-related activities
Coordinate domestic and international travel arrangements for executives and commercial leadership, including detailed itineraries
Track expenses and prepare expense reports for multiple executives and senior leaders
Submit invoices and support vendor payment processing in coordination with Finance
Ensure all work is completed with exceptional attention to detail, accuracy, and professionalism
Support additional operational, administrative, or commercial initiatives as assigned

Required

Minimum of 8 years of executive or senior administrative experience, preferably in life sciences, medical devices, healthcare, or manufacturing environments
Bachelor's degree required
Demonstrated experience supporting C-suite executives and commercial teams
Strong organizational skills with the ability to manage competing priorities and shifting timelines
Ability to maintain a big-picture perspective while executing detailed tasks
Exceptional professionalism and discretion with confidential information
Advanced proficiency in Microsoft Office (Outlook, Word, PowerPoint, Excel)
Experience with collaboration and conferencing tools (MS Teams, Zoom, Google Workspace)

Preferred

Experience supporting conferences, trade shows, or sales and marketing activities strongly preferred
Certified Notary Public a plus
