Program Coordinator
Rays for Rare is a nonprofit organization dedicated to supporting medically fragile children and their families. The Program Coordinator will play a vital role in coordinating service programs, ensuring families and partners receive compassionate support, and managing community events and initiatives.
Responsibilities
Coordinate and manage Rays for Rare’s service programs, ensuring consistent, compassionate support for families
Plan and execute events, including coordination, setup/takedown, and on-site engagement with families, donors, and partners
Maintain a strong understanding of program goals while addressing client (family) needs through support, coordination, and advocacy
Manage and improve existing programs while assisting in the development of new initiatives
Collaborate effectively with volunteers, service providers, donors, and community partners
Follow office workflows to ensure efficiency and accountability
Maintain confidential files and records (client, donor, volunteer, financial, inventory, and events)
Support fundraising and outreach efforts, including grants, donations, sponsorships, and donor stewardship
Assist with newsletters, marketing materials, and storytelling efforts that reflect our mission and impact
Manage correspondence including phone calls, emails, letters, and packages
Assist with budgeting, resource allocation, and identifying creative solutions to operational challenges
Qualification
Required
Previous experience as a Program Coordinator or in a similar role
Minimum of 2 years of experience in a professional office setting (nonprofit or startup experience strongly preferred)
Strong project and program management skills
Excellent written, verbal, and interpersonal communication skills
Ability to work positively with a wide range of individuals—from families to executive-level community supporters
Highly organized, detail-oriented, and capable of managing multiple priorities
Proactive problem-solver with sound judgment and adaptability
Comfortable learning and using new technology and systems
Experience with or willingness to learn tools such as Adobe programs, MailChimp, Google Workspace, Monday.com, AI tools, OneCause, and Kindful (or similar platforms)
