Administrative Assistant/Receptionist - 10 Month

Community High School District 218 is seeking an Administrative Assistant - Receptionist to provide essential front-line and administrative support at the Administrative Center. The role involves managing reception operations, supporting the Assistant Superintendent of Curriculum & Instruction, and performing various clerical tasks to ensure efficient district operations.

Primary/Secondary Education

Responsibilities

Serve as the primary receptionist for the Administrative Center, greeting visitors, answering incoming calls, and routing inquiries to appropriate staff with a high level of customer service and professionalism
Provide general administrative and secretarial support to the central office, including drafting correspondence, preparing documents, copying, scanning, and managing incoming and outgoing mail
Maintain and update office records, files, and logs (electronic and hard copy), including items such as transcripts, Driver Education data, and textbook/resource orders, ensuring accuracy, confidentiality, and timely entry
Support communication related to curriculum, instruction, and district programs by formatting, proofreading, and distributing letters, emails, flyers, and surveys as directed
Assist with scheduling and logistical coordination for meetings and small events held at the Administrative Center, including room set-up, materials preparation, and sign-in sheets
Operate multi-line phone systems, office equipment, and basic office technology, troubleshooting minor issues and seeking technical support when necessary
Maintain reception area and common office spaces in an orderly and welcoming condition, including monitoring visitor sign-in procedures and security protocols
Process routine orders, forms, and requests (e.g., supplies, courier requests, deliveries) and track their status as directed by central office administrators
Demonstrate flexibility in adapting to new procedures, software, and workflows, and provide back-up support to other central office administrative assistants as needed
Perform other duties as assigned by the Assistant Superintendent of Curriculum & Instruction or designee

Required

High school diploma or equivalent required
PC proficient with working knowledge of Microsoft Word, Excel, Google Drive, email, and basic data entry
ability to learn district systems (e.g., student information, finance, or registration platforms)
Strong written and verbal communication skills
excellent interpersonal and customer service skills when working with staff, students, families, and community members
Demonstrated ability to prioritize and multitask in a fast-paced environment
organize work effectively, and meet deadlines with minimal supervision
Excellent telephone and receptionist skills, including professional etiquette, clear speaking voice, and effective message taking
Demonstrated reliability, punctuality, and sound judgment
ability to maintain confidentiality in all aspects of the job
Ability and willingness to adapt to new procedures, technologies, and workflow changes in support of district needs

Preferred

prior office or school district administrative support experience
