Insurance Operations Coordinator - Commercial Lines

The Insurance Operations Coordinator will be responsible for streamlining administrative and operational tasks within the Commercial Lines team, enhancing the efficiency of sales, customer service, and marketing functions.

Responsibilities
Bind Request Processing (New Business and Renewals):
Handle the end-to-end administrative process for all new business bind requests generated by the BSS team (approximately 120 units per month)
Tasks include but are not limited to updating the client portal, sending new business emails, placing bind requests with carriers, setting up certificates, and creating new client accounts in the Agency Management System (AMS)
Renewal Processing (Account Management):
Serve as the primary processor for all agency bill renewals, a function currently performed by the CSR/Account Management team
Process approximately 90 agency bill renewals per month, ensuring accuracy and timely completion
Marketing and Submission Support:
Provide administrative support to the Marketing team by managing tasks related to proposal creation, documentation, and submissions
Handle administrative binding tasks, allowing the marketing team to focus on strategic functions like analyzing and creating complex submissions
Workflow Management & Communication:
Coordinate the flow of information and documents between the BSS, CSR, and Marketing teams to ensure a seamless and efficient process
Communicate with internal and external parties as needed to facilitate the completion of administrative tasks
Enhance customer experience and build relationships by presenting a professional image as you represent the company while being camera ready in accordance with company policies and procedures
Data Entry and System Maintenance:
Ensure all client and policy information is accurately and promptly entered and maintained in the Agency Management System (AMS)
Qualification
Required
Demonstrate a proactive and systematic approach to information gathering, analysis and problem solving
Problem-solving attitude and a proactive approach to workflow challenges
Attention to accuracy and detail in processing information
Strong organizational skills with a meticulous attention to detail and a high degree of accuracy
Effective written and verbal communication skills
Ability to communicate clearly, effectively, and concisely, both orally and in writing
Preferred
Bachelor's degree or equivalent experience and a minimum of 2 years of experience in related support role within the insurance industry
Valid Property and Casualty License (P&C)
Prior Business Services Specialist and/or Customer Service Representative position
Experience with Agency Management System (AMS)
Comfortable with being on video camera while engaging with clients/customers, attending company/department meetings, etc. as required
Learn to be proficient at completing Acord forms
Good knowledge of insurance products and usages as well as markets and references to markets
Strong data entry skills with accuracy and ability to navigate among multiple systems
Competent in Windows based computer applications (Microsoft Office; Excel, Word, PowerPoint, and Outlook) and internal systems such as NewTracker, AMS360, ImageRight
