Executive Administrative Supervisor

The New Mexico Department of Health works to promote, preserve and protect the health of New Mexicans. They are seeking an Executive Administrative Supervisor to provide administrative support to the Office of the Secretary, primarily to the Cabinet Secretary, and to manage various communications and logistical tasks.

Responsibilities

Coordinating and maintaining the Secretary's calendar, schedule meetings, manage appointments and handle meeting logistics, ensuring efficient use of time and prioritization of urgent matters
Drafting, proofreading and managing internal and external communications, including emails, meeting minutes, memos and official letters
Serving as a liaison between the Secretary's Office and other departments or external stakeholders while also supporting the Constituent Services Liaison
Preparing agendas, minutes, reports and presentations
Organizing and maintaining digital and physical filing systems to ensure compliance with organizational policies and retention guidelines
Coordinating and supporting high-level meetings including board meetings and leadership team sessions. Tasks include preparing materials, setting up conference rooms or virtual meetings and recording minutes
Provide general administrative support such as booking travel, purchasing supplies, assisting with special projects or initiatives as assigned by the Secretary and ensuring smooth operations in the Secretary's Office

Required

Associate Degree in Business Administration, Public Administration, or Accounting
Two (2) years of directly related job experience operating within parameters and guidelines in the areas of office administration, budgeting, purchasing, finance, accounting, auditing, cash management, contract management, and/or in the procedures of business and management principles involved in strategic planning
Must possess and maintain a valid driver's license
