Billing Specialist
Responsibilities
Time entry and billing for hourly, flat-fee, and contingency matters
Understanding billable vs. non-billable time
Preparing prebills and final invoices
Handling billing adjustments and write-offs
Familiarity with client-specific billing guidelines (LEDES, UTBMS codes)
Catching time entry errors, attention to detail
Ensuring rate accuracy
Reviewing narratives for compliance
Reconciling billing discrepancies
Familiar with basic accounts receivable (AR) processes
Applying client payments
Familiar with trust accounting basics (IOLTA awareness is a plus)
Month-end billing cycles
Working with general ledger summaries
E-billing platforms (e.g., CounselLink, Legal Tracker, Serengeti)
Following strict client billing rules
Correcting e-billing invoice rejections and resubmissions
Working directly with attorneys and legal assistants
Explaining billing issues clearly (often to non-financial staff)
Handling confidential client and financial data discreetly
Work well with team, proactive follow-through, collaborative environment
Multi-office or large-firm billing environments
High-volume billing (hundreds of bills per cycle)
Collections support or client follow-up
Advanced Excel skills (pivot tables, VLOOKUP/XLOOKUP)
Qualification
Required
3+ years of legal billing experience
Strong Excel/MS Office skills
Deep understanding of legal billing rules (e.g., e-billing & client guidelines)
Excellent attention to detail
Superb communication/organizational skills
Direct Aderant or similar software experience required (such as Elite 3E)
Proficient in Aderant/Sierra - or experience with Elite Enterprise, Elite Prolaw, or other equivalent legal billing software
