Palm Beach County is seeking an Administrative Technician III to support their Youth Services Department. The role involves performing clerical duties, providing customer service, managing facility operations, and maintaining office equipment and files.

Responsibilities

Responsible administrative position, performing clerical duties, involving customer service in person and over the telephone
Composes correspondence for parents’ communication
Communicates with clients; de-escalates conflicts; helps manage facility operations such as dismissal and morning drop-offs of residents
Assembles and enters data as needed, from the Case Manager Pro (CMP) system and other sources
Assists with Orientation paperwork and admission cards
Assists with opening, securing, and closing the office, as needed
Explains and ensures all intake paperwork is completed
Interacts with other County employees, employees from other governmental agencies and/or organizations, and the public daily
Performs processes on forms and records such as payroll, purchasing, and personnel, to keep the operation of the Department/Division running efficiently
Maintains a variety of office equipment; reads and routes incoming mail and assembles files and other material
Responsible for filing, retrieving, and maintaining centralized files, and ensuring all necessary electronic and paper documents are readily accessible for internal and external customers
Assists with admission and departure of clients, to include client check-ins and check-outs
Collects money and issues receipts, as needed
Schedules and confirms/cancels in-person and telehealth appointments
Practices Sanctuary (trauma-informed) principles and is willing to attend training on trauma-informed care
Provides direct (1:1) supervision of youth in reception areas
Schedules intake appointments; enters data into client software application

Required

Graduation from high school or an equivalent recognized certification
Minimum of two (2) years of responsible office experience, which includes six (6) months reviewing, overseeing, and leading the work of others
Must pass a Level 2 background check prior to appointment

Preferred

Providing customer service in person and over the phone (must specify on application)
Payroll preparation (must specify on application)
Procurement (must specify on application)
Associate's degree/coursework in Business Administration or a related field
Two (2) years of administrative or clerical experience, preferably in a government or office environment
Bi/trilingual (English/Spanish/Creole)
