Responsibilities
Manage the CEO’s calendar and inbox with precision and urgency
Serve as gatekeeper for internal and external communications
Manage the company inbox and ensure timely follow-up
Coordinate and track projects and materials in Asana
Assist with proposal preparation and administrative support
Support light office management responsibilities
Coordinate internal meetings and logistics
Support customer success initiatives and client communication
Order office supplies and research vendors, pricing, and services
Maintain clean, organized systems and documentation
Handle additional projects and responsibilities as assigned
Qualification
Required
Strong, assertive written and verbal communication skills
Exceptional organizational skills and attention to detail
Ability to prioritize multiple tasks using independent judgment
Ability to thrive in a fast-paced, high-expectation environment
Exceptional listening skills and customer service mindset
Willingness to learn and adapt quickly
Ability to work independently and as part of a TEAM
Mastery of Google Workspace (Gmail, Drive, Docs, Calendar)
Experience working on a Mac
Working knowledge of QuickBooks (or ability to learn quickly)
Experience with project management tools (Asana preferred)
Comfortable working remotely with a planned transition to in-office
Preferred
Experience in operations-driven, fast-growth environments preferred
Experience supporting senior-level executives or founders
