Responsibilities
Entering credit card charges, including proper job costing and receipt tracking
Manage the AP mailbox and distribute bills to the Project Managers for review and approval. Update bills upon PM approval
Record all non-job accounts payable appropriately
Enter job estimates into QuickBooks
Accurately record receipt of inventory purchased from vendor invoices
Review inventory totals and address discrepancies
Making travel reservations for domestic and international travel
Organize international shipping
Health Insurance and benefit renewal and tracking
Renew and update all Company licenses and certifications as necessary
Process regular 401K contributions
Process payroll occasionally as a back-up
Timekeeping review and approval
Vacation and unpaid time off tracking
Assist the project managers in preparation of project invoices
Completion of annual insurance renewal paperwork. Including assisting with employee health insurance renewals
Review EZ-Pass activity regularly and make updates to account as necessary
Support and train other employees as necessary
Qualification
Required
Proficient in multiple software programs including Outlook, Word, Excel, and Adobe
Must have excellent oral and written communication skills
Must have a strong background in QuickBooks Desktop and advanced QuickBooks features such as estimates and inventory tracking
Ideal Candidate should be able to multi-task and manage competing priorities in a fast-paced environment
Proactive, analytical and organized--, optimizing accuracy, timeliness and efficient workflow
