Operations Coordinator

Responsibilities
Provides administrative and operational support to the Communications Director, Legislative Director, Chief Information Officer, Deputy Secretary for Fiscal Services and Medicaid External Affairs Director
Ensures smooth daily operations and professional representation of the agency
Schedules meetings, answers the main phone line, greets and checks in visitors, and routes inquiries to the appropriate subject matter expert or staff member
Manages sensitive and HIPAA-protected correspondence and documents requiring signature, including logging, tracking, and notifying staff when items are ready for pickup
Frequently engages with sensitive information involving the Governor’s Office and Legislature
Completes the Executive Matrix report
Assists with general administrative functions such as maintaining the KDHE agency’s phone directory, managing backup phone lists, and creating templates and documents using Word, Excel, PowerPoint, or Publisher
Supports office coordination and logistical needs, including onboarding and workspace preparation for new employees, maintaining office and equipment inventories, and coordinating with IT to resolve technology issues
Assists with timely staff travel arrangements and reimbursements in accordance with agency procedures
Qualification
Required
High School, GED
Valid Driver's License - Incumbent is required to have and maintain a valid driver's license when operating a state vehicle, a private vehicle, or a rental vehicle for the benefit of the State
One year experience in general office, clerical/administrative support work implementing/monitoring activities relevant to the agency's programs. Education may be substituted for experience as determined relevant by the agency
Kansas Tax Clearance Certificate: A valid Kansas Tax Clearance Certificate is a condition of employment for all employees of the State of Kansas
Preferred
Knowledge of KDHE Programs, aware of KDHE work experience would be a plus
Word, Excel, PowerPoint, Access, Outlook
Proofreading, editing, attention to detail
Experience in public sector/government
Experience performing administrative support work for a high level/executive position
Ability to quickly adapt and prioritize tasks/information
Coordinate and manage projects
Written and oral communication skills
