ASSOCIATE RECORDS ANALYST
Del Mar College is a higher education institution seeking an Associate Records Analyst to manage the term schedule and assist with enrollment and graduation reports. The role involves providing authoritative information regarding scheduling policies and troubleshooting related processes while ensuring data accuracy and compliance with reporting requirements.

Responsibilities
Extract, correct, and submit data to the Texas Higher Education Coordinating Board, the National Student Clearinghouse, and agencies associated with grant reporting
Ensure enrollment and graduation reports are accurate and submitted by the required deadlines
Minimize data errors by consulting with state reporting officials concerning problems; track errors and correct misreported information; compile data and complete reports for self-reporting
Regularly reviews and redevelops internal processes, procedures, and websites
Recommends procedural updates as state and federal policies change and evaluate effectiveness
Translating newly implemented compliance policies and codifying the student information system to reflect updates
Develop and maintain standard operating procedures for term schedule and reporting processes
Work closely with representatives from Information Technology, Institutional Research, and academic departments to review data elements for accuracy, validate report data, and make corrections
Reports include but are not limited to enrollment and graduate reports to the National Student Clearinghouse and the Texas Higher Education Coordinating Board (THECB)
Perform/monitor monthly internal audits on enrollment reports submitted to the National Student Clearinghouse and course information submitted to the Texas Higher Education Coordinating Board
Working with Deans, Chairs, and academic departments to resolve schedule questions and corrections with data
Term course schedule implementation
Reviews and analyzes data to inform decision-making regarding adherence to standard meeting requirements, course scheduling processes, and best practices
Informs and makes recommendations to Student Records Office leadership regarding areas of need
Maintain organized and transparent files associated with reporting and the term section schedule
Responsible for researching federal, state, and institutional policies and ensuring compliance with those policies
Responsible for complying with policies governing the institutional calendar, FERPA, and report processing
May be assigned responsibilities for other departmental services or projects, which may be ongoing or short-term and may require planning, coordination, and supervision; such assignments are necessary to the department and may require specialized knowledge

Qualification
Required
Associate's degree •AND• three (3) years related office/administrative work experience
• OR- Bachelor's degree AND one (1) year related office/administrative work experience
• OR- Five (5) years related office/administrative work experience
Proficient computer skills and working knowledge of databases with experience in Microsoft 365
Excellent communication skills (both written and verbal)
Ability to maintain the confidentiality of work-related information and materials
Ability to create graphs and spreadsheets to review data
Accuracy and attention to detail
Ability to work with detailed information from a variety of sources
Possess strong organizational and interpersonal skills
Ability to analyze and research course descriptions from numerous colleges and universities in the US
Sufficient human relations skills to work collaboratively, resolve problems, and explain technical and procedural concepts
Strong customer service skills
Ability to work in a fast-paced, deadline-driven environment
Ability to multi-task workload
Detail-oriented with a high degree of accuracy in maintaining records
Preferred
Three (3) years of experience working in a student services environment at a higher education institution is preferred
Experience in preparing, submitting, and reconciling Coordinating Board Management (CBM) Reports preferred
Experience in preparing, submitting, and reconciling enrollment and graduate reports to the National Student Clearinghouse preferred
Demonstrated experience or training in academic course scheduling is preferred
