Senior Operations Coordinator

Responsibilities

Scheduling meetings
Answering the main phone line
Greeting and checking in visitors
Routing inquiries to the appropriate subject matter expert or staff member
Managing sensitive and HIPAA-protected correspondence and documents requiring signature
Logging, tracking, and notifying staff when items are ready for pickup
Completing the Executive Matrix report
Supporting office coordination and logistical needs
Onboarding and workspace preparation for new employees
Maintaining office and equipment inventories
Coordinating with IT to resolve technology issues
Assisting with timely staff travel arrangements and reimbursements
Maintaining the agency’s phone directory
Managing backup phone lists
Creating templates and documents using Word, Excel, PowerPoint, or Publisher
Proofreading and formatting documents for accuracy and completeness
Coordinating copying, printing, and supply requests
Ensuring conference rooms and meeting spaces are properly set up for scheduled events

Required

High School, GED
Valid Driver's License - Incumbent is required to have and maintain a valid driver's license when operating a state vehicle, a private vehicle, or a rental vehicle for the benefit of the State
Three years of experience in general office, clerical and administrative support work. Education may be substituted for experience as determined by the agency

Preferred

Knowledge of KDHE Programs, aware of KDHE work experience would be a plus
Four years of experience in general office, clerical and administrative support work. Education may be substituted for experience as determined by the agency
Word, Excel, PowerPoint, Access, Outlook
Proofreading, editing, attention to detail
Experience in public sector/government
Experience performing administrative support work for a high level/executive position
Ability to quickly adapt and prioritize tasks/information
Communicate effectively
Analyze data and present clearly and concisely
Advanced Problem-Solving Skills
Coordinate and manage special projects
