Deposit Operations Supervisor

Responsibilities

Responsible for providing leadership, training, and technical guidance to staff members; assisting the immediate supervisor with administrative tasks and special projects to support departmental operations; supervising digital operations staff as well as individually completing a variety of daily functional duties in conjunction with the digital operations processing routine; providing basic back-up support when the immediate supervisor is not available; coordinating the daily workload among the available staff within the department and interacting with other departments; reporting pertinent information to the immediate supervisor; responding to inquiries or requests for information
Provides leadership, training, and technical guidance to the department and community office staff
Assists immediate supervisor with administrative tasks and special projects as assigned
Performs supervisory oversight of the departmental staff and individually completes various functional duties required to support the daily digital operations functions as described below:
Serves as the EUAC for Federal Reserve
Serves as the Administrator for digital applications
Completes online account opening process, including but not limited to, OLB, ODP, check orders, ordering debit cards, reviewing/logging opt in/out form, logging customer for welcome letter
Resolves outstanding issues with closed accounts that had e-statements
Performs OLB maintenance including OLB address changes, e-statement requests, self-enrollments, secure messages and ACH file transfers
Processes risk emails
Resolves customer issues provided through telephone, online, or webmail
Works with customers on failed transfer issues
Maintains the remote deposit capture (RDC) software for all commercial RDC clients
Processes mobile deposits by cut-off time
Validates ATM forms and processes ATM corrections as appropriate
Processes orders for supplies, as needed
Reviews assigned daily reports
Performs required research of records and image archive as required
Assists with gathering customer records in response to subpoenas, IRS summons, and other legal orders requesting customer account information
Provides back-up staffing support to Deposit Operations Supervisor
Maintains various records relating to banking operations; updates on an ongoing basis to maintain current information
Performs additional day-to-day duties including, but not limited to: customer mailings, internal mail, hold/return mail, signature card verification, official checks, stop payments, FED adjustments, IRA review, and processing IRA and HSA adjustments and corrections
Manages the daily Digital Operations processing support service to ensure efficient and accurate fulfillment of all daily operational support service responsibilities assigned to the unit, as illustrated by the following responsibilities:
Develops and maintains all assigned bank policies, operating procedures forms, and applicable internal control documentation for Digital Operations
Oversees the daily support service provided to e-banking application users internet banking, debit card administration, ACH and wire transfer processing and addresses any unique processing issues that arise
Manages special projects such as application upgrades, system conversions, or processing changes as required
Supports the achievement of the pertinent goals and operating initiatives defined in the bank's strategic operating plan through effective communication and interaction with fellow managers and staff members which includes the following:
Monitors the performance of the third-party vendor application systems utilized, as well as the performance of the departmental staff to ensure operational efficiency and quality support service is consistently provided
Coordinates the research and resolution process employed when application system outages or other non-routine processing disruptions or issues develop
Directly supervises assigned personnel as follows:
Assists in the selection of new personnel as appropriate
Makes provisions for the proper orientation and training of new personnel
Reviews employee performance throughout the probationary period and on a regularly scheduled basis thereafter
Organizes, schedules, and distributes work among assigned personnel
Keeps personnel informed of pertinent policies and procedures affecting the department and/or their jobs; creates an atmosphere in which upward communication from employees is encouraged
Administers personnel policies and procedures as established by bank policy
Coordinates assignment of specific work tasks to other personnel within the department as well as with other departments in order to ensure the smooth and efficient flow of information
Abides by the current laws and organizational policies and procedures designed and implemented to promote an environment which is free of harassment and other forms of illegal discriminatory behavior in the workplace
Cooperates with, participates in, and supports the adherence to all internal policies, procedures, and practices in support of risk management and overall safety and soundness
Reports pertinent information to the immediate supervisor as requested and compiles information as necessary to support the deposit and digital operations functions
Responds to inquiries or requests from customers or bank personnel within required given time frames and established policy
Performs multiple tasks, duties, and jobs throughout the department and oversees the performance of departmental staff in a responsive, cooperative, and professional manner

Required

A high school diploma or equivalent with related bank operational support experience required; additional formal education beyond high school is beneficial
Proficient reading, writing, grammar, and mathematics skills

Proficient organizational skills
Ability to learn quickly and retain knowledge
Proficient interpersonal relations and communicative skills
Proficient knowledge of digital operations policies and procedures
Ability to provide mentoring, guidance, and training to Digital Operations and Call Center staff
Visual and auditory skills
Valid driver's license
A minimum of five (5) years' experience in related positions with prior supervisory experience is normally required
Knowledge and capability to multi-task and effectively support or complete all daily digital operations processing requirements
