Administrative Assistant to the CEO
Bates County Memorial Hospital is seeking an Administrative Assistant to support the Chief Executive Officer with various clerical and executive tasks. The role includes managing the CEO's calendar, scheduling meetings, documenting minutes, and overseeing physician credentialing processes.

Responsibilities
Responsible for scheduling appointments and monitoring the Chief Executive Officer’s calendar
Responsible for scheduling monthly meetings for the Board of Directors, Medical Staff and Management Team. This includes reservation of the meeting room, ordering food (if appropriate) and sending invitations to the appropriate parties
Documents to be presented at the monthly meetings of the Medical Staff and Board of Directors shall be assembled into a packet. Documentation shall include, but are not limited to previous meeting minutes, capital requests, contracts, guidelines, policies, and financial reports. A meeting agenda will be drafted for the packet. Medical Staff meeting packets and Board of Director meeting packets shall be provided to the invitees prior to the monthly meeting
Attend monthly meetings of the Board of Directors, Medical Staff and Management Team and take minutes. Drafts of the Board of Director and Management Team meeting minutes shall be distributed to those attendees as soon after the meeting as is reasonably possible
Understanding of Missouri Sunshine Laws and how they apply to the Board of Director meetings
Maintain the Board of Director Bylaws. Remind Board of Director Bylaw committee of bi-annual review of bylaws
Maintain Medical Staff Bylaws
Schedule and attend bi-monthly Safety Committee meeting. This includes reservation of a meeting room and sending invitations to the appropriate Committee members, as well as attending the meeting and taking minutes
Responsible for credentialing of all providers requesting privileges at Bates County Memorial Hospital. This includes verification of all licenses and insurance. Criminal Background checks are sent to Human Resources for completion. References from three medical peers will be obtained. Board certification will be verified. The Office of Inspector General (OIG) Exclusions Database will be verified
Reappointment packets for providers having privileges at Bates County Memorial Hospital will be mailed every two year in accordance with their term. The packets will be mailed in accordance with the Medical Staff bylaws
Renew Missouri Medical licenses, BNDDs and DEAs for employed providers
Maintain spreadsheet of all providers to track expirations of Missouri licensures, BNDDs, DEAs and malpractice insurance
Track CME expenses for employed providers in accordance with their contract
Keep updated provider privileges on the Administration Home page of the intranet
Make education registrations and travel arrangements for employees attending off-site seminars or conferences
Coordinate meetings/events for Bates County Community Health Foundation
Orders supplies for Administration office and Administration media room
Perform other duties as assigned
Qualification
Required
Minimum: College/university or technical school training in computer information systems/office technology
College level courses in English proficiency and Business Report Writing
Minimum: Previous experience in office setting required; maturity in dealing with fellow employees and public; excellent organizational and clerical skills; ability to function with little or no supervision; ability to take adequate minutes at meetings

Effective ability to work independently with little supervision
Excellent written and oral communication skills
Ability to maintain confidentiality of personnel and contractual issues
Ability to effectively manage time through organizational skills
Preferred
Bachelor of Science degree in Office/Business Administration from an accredited college or university
