Responsibilities
Provide high-level administrative and practice support to multiple attorneys
Coordinate workflow with internal teams, including billing, calendar, and litigation support
Prepare and submit accurate documentation with clear instructions for the Attorney Resource Team
Track and verify court and agency deadlines, proactively alerting attorneys as needed
Prepare and finalize Tables of Contents (TOCs) and Tables of Authorities (TOAs) using Best Authority
Manage e-filings with courts and administrative agencies in accordance with applicable rules
Maintain and update litigation matters in Virtual Binder and organize documents in NetDocuments
Assist with New Client Matter (NCM) creation and ensure compliance with internal standards
Coordinate transcription, document assembly, and printing requests
Maintain attorney contact lists in Outlook and InterAction (CRM)
Provide front desk coverage once per week, supporting administrative and client service needs
Qualification
Required
Minimum of 5+ years of experience in a professional legal environment (Legal Assistant, Paralegal, Legal Billing Specialist, or Legal Secretary encouraged to apply)
Exceptional attention to detail with strong organizational and communication skills
Ability to manage multiple attorney workloads and meet strict deadlines
Proficiency with Best Authority, Microsoft Office, Outlook, and Adobe Acrobat
Strong understanding of legal terminology, court rules, and electronic filing (ECF) procedures
Preferred
Experience with NetDocuments and Forte
California state and federal court experience
