Senior Coordinator, Administrator

Responsibilities

Provide general administrative support and manage the calendar for the CLS Program Manager
Plan, coordinate, and execute in-person group events
Arrange and book international and domestic travel, ensuring alignment with program budgetary requirements
Update and distribute travel guidance documentation to all CLS Program travelers
Process and track expense reports in a timely and accurate manner
Register employees in the Visit Authorization Request (VAR) system for travel to military sites
Manage visitor registrations in the Visitor Management System (VMS) for visits to Raytheon facilities
Order and maintain adequate levels of office supplies to ensure efficient operations
Prepare and initiate shipping memos as required

Required

Typically requires an AA/AS degree, Technical/Business School Certificate (or other 2-year post high school training) with a minimum of 6 years of relevant experience
Experience with Microsoft Office – Word, Excel, PowerPoint
Experience scheduling, booking travel, entering VAR's and VMS forms, Visit Registrations, and/or ordering supplies
The ability to obtain and maintain a U.S. government issued security clearance is required. U.S. citizenship is required, as only U.S. citizens are eligible for a security clearance

Preferred

Advanced computer skills in Microsoft Office (MS Word, PowerPoint and Excel), including the ability to merge Excel data into PowerPoint presentations, perform advanced Excel functions, and manage Internal/External SharePoint platforms effectively
Understanding of the CORE (Customer Oriented Results and Excellence) Operating System
Ability to work collaboratively as part of a team, with flexibility to adapt to changing situations and responsibilities
Highly organized with the ability to prioritize tasks, manage multiple responsibilities, and proactively anticipate needs and their impacts
Experience in dealing with customers and ability to multitask
Strong attention to detail, with the ability to work independently with minimal supervision, and effectively adapt to shifting priorities in a fast-paced environment
