Senior Administrative Assistant

Responsibilities

Provide executive-level administrative support to the CHRO and multiple HR Directors
Manage complex, high-volume Outlook calendar scheduling with complete independence
Schedule meetings, travel, conferences, and department-wide activities
Draft, edit, and proofread professional correspondence and emails
Create and edit PowerPoint presentations for senior leadership
Prepare and submit expense reports, invoices, and check requests
Run and format reports from an HRIS system (PeopleSoft)
Assist with employee recognition initiatives, including service and anniversary acknowledgments
Maintain logs, audit records, files, and confidential documentation
Serve as a liaison between HR, internal departments, and external contacts
Answer and route calls, transcribe messages, and manage correspondence
Support special projects and provide backup coverage for other HR administrative staff

Required

3+ years of recent, consistent experience as an Administrative Assistant, Senior Administrative Assistant, or Executive Assistant
Stable work history supporting senior leaders or executives
Expert-level Microsoft Outlook skills (heavy calendar management required)
Very strong PowerPoint skills (creating and editing slides)
Working knowledge of Microsoft Excel
Experience preparing expense reports
Ability to work under quick direction in a corporate executive environment
Exceptional written and verbal communication skills
Professional presence and executive-level polish (“top-tier” caliber)
Ability to provide or draft a writing sample for review
minimum of a High School Diploma required

Preferred

Bachelor's Degree preferred, either the equivalent of work experience
Event planning or coordination experience
Experience with Visio
Familiarity with expense systems such as Chrome River
