NeuroAge Therapeutics is a brain health startup focused on translating aging and neuroscience research into actionable insights. They are seeking a highly organized Administration Assistant to support the CEO with various administrative tasks, clinical operations, and social media management.

Responsibilities

Coordinate client onboarding, scheduling, and clinical documentation

Act as a point of contact for clients, partner clinics, labs, and imaging centers

Manage shipping and receiving of clinical kits and biological samples

Prepare, label, track, and document outgoing and incoming shipments

Maintain inventory of kits, supplies, and shipping materials

Ensure accurate record-keeping and compliance with HIPAA and internal SOPs

Assist with general administrative and operational tasks as needed

Work with the software development team to automate work flows

Manage social media and newsletters

Help out with events, which occasionally occur after hours and on weekends, as needed

Required

Strong organizational skills and attention to detail

Empathy, patience, and professionalism when working with NeuroAge clients and partners

Clear written and verbal communication

Comfort working with both digital systems and physical materials

Ability to manage multiple tasks in a fast-paced, hybrid environment

Reliability and ownership over operational workflows

Comfort with modern software and AI tools (Google workspace, Notion, ChatGPT/Claude)

Interest in longevity, neuroscience, or precision medicine

Preferred

Previous experience in clinical administration or healthcare operations

A bachelor's degree in a relevant field

Previous experience with social media and marketing

Experience with shipping carriers (FedEx, UPS) or inventory management

Experience working with labs, diagnostics, or research organizations

Familiarity with HIPAA or handling sensitive health data
