Responsibilities

Assist in the preparation of detailed event documentation such as seating charts, packing lists, and event deliverables
Organize and ship event materials (signage, swag, collateral) as needed
Develop and maintain event registration pages, ensuring details and accuracy at all times
May be required to attend and assist events as onsite registration and logistics support on a case-by-case basis. This may include light set-up and teardown of event, guest check-in, and supply management
Help manage event RSVPs, guest confirmations, check-in tools, and data for post-event analytics
Coordinate event deliverables and logistics across external vendors, designers, and content teams
Track administrative follow-ups such as maintaining records of contracts and documentation for vendors, and shipping logistics
Book photographers and submit invoices
Organize and ship event materials (signage, swag, collateral) as needed
Develop and maintain registration pages, ensuring details and accuracy at all times

Required

1–3 years of experience in events, marketing support, or related administrative roles with demonstrated success supporting multiple events or projects simultaneously
At least 1 year of Events support experience is required
Exceptional attention to detail, organizational skills, and multitasking ability
Strong communication and interpersonal skills
Extremely detail-oriented and organized
Outstanding written and verbal communication, organizational, and time management skills
Flexible with a proven ability to think critically in high pressure situations
Ability to multitask and meet deadlines
Positive, collaborative attitude
Competent in Microsoft Word, Excel and Powerpoint
Comfortable working both independently and collaboratively across teams
Ability to maintain a flexible schedule, including occasional support during early mornings or evenings for live events

Preferred

Familiarity with event marketing platforms (i.e. Splash and Sailthru) is a plus
Experience with Adobe Suite products is a plus
Proficiency with Google Workspace (Docs, Sheets, Slides) and event tools such as Splash, Cvent, or Airtable is a plus
Highly adaptable and solutions-oriented with a calm, can-do attitude
Passion for media, storytelling, and audience engagement is a plus
Experience supporting in-person activations and digital events is a plus
A growth mindset and eagerness to learn the ins and outs of event production at scale
