Responsibilities

Serve as the primary administrative partner to the CEO, managing complex and dynamic calendars, priorities, communications, and preparation

Anticipate executive needs and proactively identify and resolve scheduling, priority, and resource conflicts across multiple leaders

Prepare executives for meetings with agendas, briefing materials, and follow-ups

Act as a trusted gatekeeper, exercising sound judgment to triage requests and protect executive focus

Provide ongoing administrative and operational support to the VP of Finance and VP of Sales, including calendar management, meeting coordination, and preparation of materials

Draft, edit, and manage executive correspondence, presentations, and reports

Coordinate information flow between executives and internal/external stakeholders

Track action items, decisions, and commitments to ensure timely follow-through

Coordinate board, leadership, and committee meetings, including agendas, materials, logistics, and minutes as needed

Plan and execute executive-level meetings, offsites, and events

Coordinate executive travel, expense reporting, and meeting logistics
