Onboarding Coordinator

The Onboarding Coordinator will serve as the main point of contact for new hires, ensuring a smooth onboarding experience while maintaining operational readiness and compliance.

Responsibilities
Serve as the main point of contact for new hires from offer acceptance through their first day or first job assignment
Communicate start dates, schedules, job locations, and first-day expectations clearly and consistently
Proactively follow up with new hires to answer questions, resolve concerns, and reduce no-shows
Coordinate system access, client portal setup, and onboarding checklists to ensure operational readiness
Deliver a positive, professional onboarding experience that reflects the company’s values
Assist with adding new hire profiles in the ATS/HRIS and ensure onboarding steps are accurately tracked
Ensure all client and compliance requirements are completed before the employee begins work
Support post-hire timekeeping setup and data entry in client-specific systems, as required
Maintain accurate onboarding records and provide status updates to internal stakeholders
Collect sizing information and coordinate the ordering, shipment, and tracking of uniforms to ensure availability prior to the start of a project
Troubleshoot and resolve uniform or readiness issues to avoid project delays
Partner with Recruiting, HR, Operations, Scheduling, and Field Leadership to align onboarding timelines with project needs
Perform other duties as assigned
Qualification
Required
High School Diploma, GED, or equivalent work experience
Proficiency in MS Excel (Intermediate to Advanced), PowerPoint, Word, and Outlook
Strong written and verbal communication skills
Excellent organizational skills with the ability to identify, troubleshoot, and resolve issues efficiently
Ability to learn and navigate new systems, including Cruxos and client portals
High attention to detail with consistent follow-through and accuracy
Demonstrated ability to collaborate effectively across departments and functional teams
Customer-service–oriented approach with a strong focus on employee experience
Ability to adapt and respond effectively to changing schedules, priorities, and operational demands
Preferred
Associate's or Bachelor's degree
1+ years in Onboarding, Recruiting, HR, or Administrative support
Experience working with ATS, HRIS, client portals or scheduling systems
