Executive Assistant Full Time

The Executive Assistant will perform a variety of routine functions to maintain an organized flow of hospital operations, assist HR with clerical functions, and serve as the facility contracts administrator.

Responsibilities

Maintains good public relations with persons coming into the office, within the corporate structure, and in the community
Performs other duties as assigned
Maintains established Hospital/departmental policies and procedures
Maintains confidentiality of patient and Hospital related business
Develops and maintains an effective working relationship with patients, Physicians, families, visitors and other hospital employees
Understanding USPI’s mission and EDGE, and completing daily responsibilities in accordance with the standards outlined in each
Typing correspondence, reports, contracts, agreements and various specialized documents
Organizing and maintain filing system. Take minutes at hospital board meetings and other meetings as assigned
Assist HR with online job posting and responses
New hiring onboarding responsibilities as requested
Assist HR with functions between hospital and USPI
Provide clerical and administrative support to HR Director
Generate Monthly Administrator On Call Schedule
Preparation of spreadsheets, correspondence, and daily reports as needed
Editing/Typing policies
Management of Policy library (electronic and hardcopy)
Serve as facility Contract Administrator
Facilitate contract request process
Validate all necessary items are procured for contract approval process
Management of 120-day expiration/renewal report in eCATS
Assist Executive with communication with contracted vendors
Management of electronic contract file repository and hardcopy repository

Required

High School Degree or equivalent
Ability to type 55 words per minute
Ability to read and comprehend complex instructions, business correspondence and memos
Ability to write complex correspondence
Ability to effectively present information in group situations to patients, physicians and other employees of the organization
Ability to apply common sense understanding to carry out detailed written or oral instructions
Ability to deal with problems involving a few concrete variables in standardized situations
Ability to utilize Electronic Health Care Record for patient documentation
Strong skills in Microsoft suite products including excel and access to create professional reports
At least two to six months of experience as an Administrative Assistant
Hospital experience preferred
Degree in business administration or certification in clerical technical school

Preferred

Understanding of payroll systems and staffing coordination highly desirable
