Front Office Coordinator

Ascend is seeking a Front Office Coordinator who will serve as a proactive and excellent communicator, interacting with all team members including executive leadership. This role involves handling general administrative tasks, supporting office operations, and ensuring a welcoming environment for visitors.

Responsibilities

Open office daily, pick up newspapers and turn on office equipment as needed in the morning
Greet and welcome visitors, coordinate guest access with building security
Answer and screen phone calls; forward as necessary
Review food supplies/inventory and order as needed. Deliveries should be for Monday or early in the week, not Fridays. When ordering group small orders together so as not to incur multiple shipping/delivery charges
Meeting prep: printing weekly and monthly agendas and sending calendar reminders
Prepare and distribute email reminders with agenda for meetings. Print out copies of agenda in preparation for meetings
Run errands to banks and other retail or restaurants locations, as directed
Tidy up conference room and kitchen and other office areas as needed
Maintain kitchens throughout the day - loading/unloading dishwashers, clearing sink, and re-stocking snacks and supplies
Periodically throughout the day re-check paper trays and other supplies. Tidy up any messes in the common areas (pulled staples, post it’s left around etc.)
Maintain office file system, start new files annually and as needed
Any special projects for finances/taxes/office as needed
Coordinating catering for board meetings, dinner reservations, office celebrations, etc
Coordinate any office suite or building maintenance correspondence for work orders/office needs with property management company
Organize computer inventory (docking stations, cords etc.)
Coordinate company wide meetings and events - catering, locations, and invitations
Deliveries—please see that it’s given to the recipient timely
Prepare shipping labels for USPS, FedEx, UPS, etc., drop packages off
Manage office newspaper and magazine subscriptions

Required

1 - 2 years previous administrative experience in a corporate environment
Proficient in Ms Word, Outlook, and Excel and Google Suite
Excellent customer service skills - very reliable - with positive attitude
Ability to multi-task and manage competing demands
Problem solver and creative thinker
