Responsibilities

Managing agency data management and sales administrative services for four CIG Agency Development, Marketing and Sales
Performing advanced data entry and maintaining agency data and information across multiple information systems
Managing multiple priorities and meeting time sensitive deadlines
Maintaining confidence and trust, anticipating needs, and taking the initiative to handle a variety of assignments accurately and efficiently with limited direct supervision
Performing other duties as directed or assigned

Required

An associate degree is preferred but will consider high school equivalency and a minimum of five (5) plus years of data entry, administrative or relevant sales support assignments or office management experience
Coursework in data entry, administrative subjects such as Excel – Intermediate to Advanced level required
MS Word – Intermediate to Advanced level required
MS PowerPoint and Visio – Intermediate preferred
Takes the initiative to handle a variety of duties and assignments accurately and efficiently while maintaining confidentiality and with limited direct supervision
Experience using SQL and VBA
Superior communications and grammatical skills are necessary along with demonstrated ability to compose and edit reports, articles and business correspondence
Exceptional attention to detail and organizational skills as well as the confidence and ability to manage multiple priorities and satisfy time sensitive demands
Experience working with internal and external customers
Works independently and has ability to make sound and professional decisions as necessary with little requirement to do so from manager
Solicit the cooperation and performance of tasks by various departments
Work closely with the technology department for executive A/V needs both in-office and offsite meetings
Identify sensitive issues and use appropriate discretion in handling confidential issues
Organize work, set priorities, and meet critical deadlines with minimal supervision
Establish and maintain complex calendar and appointment schedules and ensure executives stay on track throughout the day
Maintain the confidentiality of materials and use appropriate discretion in handling sensitive and confidential correspondence or information
Standard office practices and procedures, including filing systems and business letter composition
Correct English usage including spelling, grammar, punctuation, and vocabulary
