Payroll Specialist
Unite Health Share Ministries (UHSM) is a nonprofit, faith-based health sharing ministry that facilitates member-to-member health sharing among fellow Christians. The Payroll Specialist is responsible for the accurate and compliant processing of multi-state payroll, ensuring adherence to regulatory requirements and internal controls while serving as a subject matter expert in payroll operations.

Responsibilities
Process semi-monthly payroll for exempt employees and weekly payroll for non-exempt employees across California and multiple states using ADP Workforce Now (Next Gen)
Accurately calculate and process regular wages, overtime, premiums, sales bonuses, commissions, retroactive pay, and special payments
Perform overtime calculations on non-discretionary bonuses and commissions, ensuring compliance with California and federal wage and hour regulations
Process gross-up payments and manage taxable and non-taxable fringe benefits, including proper tax treatment and reporting
Review and validate payroll reports to ensure accuracy
Manage off-cycle payrolls, manual checks, voids, and adjustments as needed
Conduct regular audits of payroll runs, employee payroll profiles, timecards, and system configurations to ensure accuracy, compliance, and alignment with company policies
Audit timecards, including hours worked, overtime, premiums, meal and rest period compliance, and timekeeping exceptions
Follow up with employees and timecard managers regarding timecard discrepancies, missing punches, exceptions, or clarifications required prior to payroll processing
Ensure timely resolution of timecard issues to meet payroll deadlines while maintaining compliance with wage and hour regulations
Audit earnings codes, including bonuses, commissions, gross-ups, and fringe benefit configurations
Review and audit pay rates, job classifications, FLSA status, overtime calculations, and tax setups
Audit benefit deductions, retirement plan contributions, garnishments, and other voluntary and involuntary deductions for accuracy and compliance
Identify discrepancies and root causes; recommend and implement corrective actions and process improvements
Maintain clear documentation of audit findings, communications, and corrective actions to support internal controls, internal audits, and external audits
Maintain compliance with federal, state, and local payroll laws, including wage and hour regulations, taxation of bonuses, commissions, and fringe benefits
Apply expert knowledge of California-specific requirements, including regular rate of pay calculations, overtime on bonuses and commissions, pay statement compliance, final pay rules, and waiting time penalties
Monitor legislative and regulatory changes impacting payroll and implement required updates
Administer payroll taxes, including federal, state, and local withholding related to wages, bonuses, commissions, gross-ups, and fringe benefits
Ensure proper taxation and reporting of fringe benefits and imputed income
Coordinate with ADP, HR, and Finance to resolve payroll tax and deduction discrepancies
Perform payroll reconciliations and support internal and external audits, including retirement plan and benefit audits
Prepare payroll and audit reports for Finance, HR, and leadership
Maintain accurate payroll records and documentation in accordance with retention requirements
Serve as a trusted resource for employee payroll inquiries, resolving issues promptly and professionally
Partner with HR and Finance to ensure data integrity and alignment
Support payroll aspects of onboarding, offboarding, and employee lifecycle changes
Qualification
Required
Bachelor's degree in Payroll, Human Resources, Accounting, Finance, or related field
5+ years of hands-on payroll experience, including California and multi-state payroll
Demonstrated expertise with ADP Workforce Now (Next Gen Preferred)
Experience processing payroll for both exempt and non-exempt employees on different payroll cycles
Proven experience conducting payroll audits and data integrity reviews
Strong working knowledge of federal, state, and local payroll laws and regulations
Payroll certification required (CPP or FPC preferred)
Exceptional attention to detail with strong analytical and problem-solving skills
Ability to handle confidential information with discretion and integrity
Ability to work in our Orange, CA office location
Preferred
CPP (Certified Payroll Professional) strongly preferred
Experience supporting benefit and retirement plan audits
Familiarity with HRIS integrations, timekeeping systems, and audit controls
Experience in a multi-entity or complex payroll environment
