Customer Service Coordinator
WNS is a company seeking a Customer Service Coordinator. The role involves coordinating inbound and outbound cargo operations, ensuring compliance with regulations, and providing customer support regarding shipping processes.
Responsibilities
Obtain dangerous cargo certificates and Port permit from Line or Agency. Prepare the required documents for the driver
Work with U.S. Coast Guard when inspections or hazardous documents are requested
Coordinate the delivery of break bulk cargo with Line or Agency, trucking companies and related departments
Coordinate various inspections and surveys to be conducted on dock and follow up to ensure that the job is complete, and all parties notified
Report discrepancies on hold tags to Line, Agency and government agency, (U.S. Customs and/or U.S.D.A.)
Prepare daily collection report and surrender all payments to Accounting Department. Mail receipts to the proper party
Submit requests and assemble manifest to Port for storage and/or assembly time
Re-rate and report demurrage and storage reports to Port
Prepare inbound collection recap reports for demurrage invoice to Lines
Send aging reports to clients for containers that are on-dock past the free time
Monitor and verify dangerous bookings and their required documents. Obtain necessary corrections, additions, approvals, and proper identification of shipments prior to arrival on terminal
Coordinate break bulk shipments, reefer temperature discrepancies, damaged loads requiring repair or transload, export loads moving off dock and loads arriving on dock via rail, identify and alert Marine personnel of any special stow requirements
Assist the Line personnel in arranging various inspections, fumigation, or surveys to be conducted on dock, and follow up to ensure the job is complete and all parties notified
Relay to the Line any problems which prevent drivers from delivering loads. Ensure that the correct information is obtained prior to the trucker arriving at the facility and follow up until the problem is resolved
Work with U.S. Coast Guard, Customs, or USDA when inspections or hazardous documents are requested. Coordinate with yard operations and Line for off-dock movement and seal changes
Record and file any unusual or important incidents or changes
Rotate on-call for weekend gates
Instruct customers on how to use TraPac website and VRU automated system
Advise last free day information
Quote demurrage charges and rates
Explain hold status and advise inspection schedule
