Commercial Operations Manager

Responsibilities

Master complex calendar management to maximize the CCO's impact across Legal, Origination, Supply, & Marketing functions
Strategically allocate executive time based on business priorities, deal timelines, & organizational needs
Analyze time allocation patterns and recommend adjustments to optimize cross-functional engagement
Coordinate seamlessly with department heads to ensure appropriate executive involvement at critical decision points
Proactively identify and resolve scheduling conflicts while maintaining balance across all commercial functions
Prepare comprehensive daily/weekly briefings to ensure smooth transitions between diverse responsibilities
Collaborate closely with administrative team to coordinate leadership team schedules and avoid conflicts
Lead and manage multiple concurrent projects across commercial divisions
Develop project timelines, track milestones, & ensure deliverables meet deadlines
Coordinate cross-functional initiatives involving Legal, Origination, Supply, & Marketing teams
Create and maintain project dashboards for executive visibility
Drive special projects including new market entry initiatives, organizational development, & process improvements
Facilitate project meetings, document decisions, & track action items to completion
Serve as project liaison between the CCO and internal/external stakeholders
Maintain sophisticated contact management system tracking all key relationships requiring regular executive touchpoints
Create and manage outreach calendars ensuring consistent engagement with critical stakeholders
Track communication frequency with customers, partners, regulators, & industry contacts
Generate weekly contact reports highlighting relationships requiring attention
Proactively schedule follow-ups based on business development cycles and relationship maintenance needs
Coordinate with commercial teams to identify and prioritize high-value relationship opportunities
Maintain detailed interaction logs and relationship history for strategic accounts
Curate and maintain the CCO's LinkedIn presence to enhance thought leadership and industry visibility
Working with the Director of Communications:
Draft and schedule LinkedIn posts highlighting company achievements, industry insights, & energy market perspectives
Monitor engagement metrics and adjust content strategy accordingly
Manage connection requests and maintain professional network growth
Coordinate on executive visibility initiatives and content alignment
Track industry conversations and identify opportunities for strategic engagement
Lead the establishment and ongoing maintenance of company-wide CRM system
Ensure data integrity and regular updates across commercial teams
Generate reports and analytics to support business development efforts
Create custom dashboards for relationship tracking and pipeline management
Train team members on CRM best practices and utilization
Arrange comprehensive domestic travel itineraries including flights, accommodations, & ground transportation
Coordinate attendance at energy industry conferences, regulatory proceedings, & customer site visits
Manage contracts and documentation for Legal and Commercial teams
Handle confidential materials related to transactions, negotiations, & strategic planning
Process expense reports and manage budgets
Partner with EA team to share best practices and ensure consistent administrative standards
Provide discrete personal scheduling and coordination as needed
Manage select personal appointments and family logistics

Required

Bachelor's degree or equivalent professional experience
5+ years of executive assistant experience, preferably supporting C-suite executives
Demonstrated project management experience with ability to drive initiatives to completion
Proven experience implementing and managing CRM systems (Salesforce, HubSpot, or similar)
Experience managing executive social media profiles, particularly LinkedIn
Advanced proficiency in Microsoft Office Suite, project management tools, & calendar optimization platforms
Exceptional written and verbal communication skills with ability to draft professional social media content
Strong analytical skills with ability to assess priorities and optimize resource allocation
Demonstrated ability to handle highly confidential information with discretion
Track record of improving executive effectiveness through strategic calendar management
History of successful collaboration in multi-EA environments

Preferred

Experience in the energy, utilities, or regulated industries
Familiarity with wholesale power markets and energy terminology
Project Management Professional (PMP) certification or equivalent training
Experience supporting executives with combined commercial and legal responsibilities
Knowledge of government relations and regulatory processes
Experience managing complex stakeholder relationships in B2B environments
Proficiency with data visualization and reporting tools
Experience with executive thought leadership and content development
