Operations Specialist II - Sabeti Lab
The Broad Institute of MIT and Harvard is seeking an Operations Specialist II for the Sabeti Lab to support financial and operational activities in a fast-paced academic research environment. Responsibilities
Review and reconcile expenses on sponsored research accounts; assist with preparing and finalizing financial reports
Reconcile corporate credit card activity and maintain accurate tracking of expenditures
Support ongoing financial reporting workflows and compliance processes
Help prepare grant, subcontract, and industry-sponsored research proposals, including budget development and compliance with sponsor regulations
Maintain PI CVs, publication lists, biosketches, and other support documentation
Provide administrative and operational support for the lab
Assist with ordering and tracking laboratory materials and supplies
Coordinate student intern and rotation requests; serve as a primary point of contact for prospective trainees and facilitate communication with lab members
Draft and process recommendation letters for lab trainees
Work with lab members on special projects, events, and programmatic initiatives
Assist with maintaining social media accounts and internal/external lab websites
Support PI communications, scheduling, and preparation of meeting and presentation materials
Qualification
Required
Bachelor's degree required
At least 2 years of relevant professional operational support experience, preferably in an academic or research environment
Strong organizational skills and the ability to learn new systems and processes quickly
Excellent written and verbal communication skills
Experience with AI tools and the ability to learn, use, and train others on new software and digital tools
Ability to handle confidential information with discretion, demonstrate sound judgment, and maintain strong attention to detail
