Student Data Systems Specialist

They are seeking a Student Data Systems Specialist to oversee the student database and information systems, providing technical support, training, and ensuring data integrity.

Responsibilities
Providing excellent customer service in supporting the technical needs of end-users, proactively communicating requirements and system updates, preserving data integrity, developing and delivering training for end-users, and responding to internal and external data requests
Learn and become fluent in our Student Database and Information Systems (i.e., Aeries) in order to troubleshoot issues as quickly as possible
Respond quickly to resolve technical support requests from staff, vendors, and families
Work with vendors and internal systems to address issues as quickly as possible
Troubleshoot ongoing issues based on analysis of tickets
Create and manage Data Portal accounts for communication between Teachers, Students, and Parents in the student information system
Communicate system changes, planned outages, proper procedures, and critical timelines to end users
Elevate urgent or ongoing issues from end users to Supervisor and other appropriate staff
Analyze tickets and recommend improvements in school and district processes related to student data
Develop a data timeline, which plans for and anticipates support needs aligned with the school calendar
Monitor and take corrective action to preserve data integrity, including maintaining student data security
Create and manage secure accounts for communication between teachers, students, and parents
Work with staff to undertake regular data maintenance, including: Work with summer school personnel to process report cards and attendance for summer school. Ensure that student demographic and program data is valid and up to date. Move student data from one school database to another. Uploading assessment data into our Student Information Systems as results are available
Create guidelines, checklists, and/or job aides on common data tasks for end users. Maintain District website resources for student information system
Identifies and provides training for users of the student information system in person, through documentation, and other media
Learn the details of the student database to support ad hoc data requests as quickly as possible, including data definitions and how different types of data are related
Support data requests internally and externally, including pulling, manipulating, and analyzing data
Support state/federal compliance needs when necessary including reading bylaws, technical manuals, and attending external trainings
Help requestors in clarifying requests to ensure that the final product is accurate and useful
Other duties related to the job description, as assigned
Qualification
Required
Knowledge of data system terms, practices, and procedures
Demonstrated proficiency in Microsoft Office, including Excel, Google Spreadsheets, or comparable database and spreadsheet applications
Logical steps in operating systems and record management
Technical troubleshooting and documentation standards and best practices
PC based operating systems
Ability to use a variety of web-based or computer-based programs used by the district, including Microsoft Office Suite, Google Suite, Aeries, and the California Department of Education's Dataquest
Provide excellent customer service in all interactions with staff, students, and the public
Communicate clearly through multiple forms, including verbal, written, and in-person presentations
Show a demonstrated interest in, or passion for, the education sector
Use at least one data management/analysis tool, such as Microsoft Excel, with proficiency
Learn additional skills to meet the organization's data needs, including other data analysis and visualization tools as needed (e.g., Tableau)
Exemplify professional conduct in a fast-paced environment with tight deadlines
Be exceptionally organized, with strong attention to detail
Graduation from a recognized college or university with a bachelor's degree, including completion of at least 12 semester units or equivalent in organization and management, computer science, accounting, finance, economics, statistics, research techniques, business, personnel, communication, and/or public administration. Two years of graduate collegiate or professional experience beyond that required may substitute for the required education
Two years of experience in professional-level position
Preferred
Student Database Information Systems (AERIES) preferred
Bilingual in Spanish or Vietnamese
Experience working in a public school or school district
