The State of Florida is seeking an Administrative Secretary for the Division of Vocational Rehabilitation. The role involves providing administrative support, managing inquiries, handling clerical tasks, and ensuring quality customer service for individuals with disabilities seeking employment.

Government Administration

Responsibilities

Serves as the receptionist for the Division of Vocational Rehabilitation’s Unit 16B by responding to inquiries from visitors, customers, vendors, and the public
Handles clerical tasks like drafting correspondence, scheduling appointments, maintaining files, and providing information to callers
The incumbent will provide administrative support to both units by answering the main line, assisting walk-ins, taking referrals, and scheduling appointments, processing mail, assisting customers with questions, and returning calls
This individual will also take and enter referrals and assist the unit with orientation
Completion of these duties will support the unit in providing quality and timely customer service, which is of utmost importance for our VR customers
Attendance is an essential function of this position
Will perform other related duties as assigned

Qualification

Required

Two years of secretarial or clerical work experience
Possession of a Certified Professional Secretary Certificate
College education from an accredited institution at the rate of 30 semester or 45 quarter hours for each year of the required experience
Vocational/technical training in an area of secretarial science or office/business studies at the rate of 720 classroom hours for each year of the required experience
A high school diploma or its equivalent can substitute for one year of the required work experience
Knowledge of office procedures
Knowledge of correct spelling, punctuation, and grammar
Knowledge of basic arithmetic
Knowledge of filing practices
Knowledge of techniques for handling telephone calls courteously and efficiently
Skills in Microsoft Word and Excel
Skills in typing
Skills in operating general office equipment
Ability to organize files and records
Ability to perform basic arithmetic calculations
Ability to prepare letters, memoranda, and forms in correct format
Ability to manage telephone calls effectively and courteously
Ability to plan, organize, and coordinate work assignments
Ability to communicate effectively
Ability to establish and maintain effective working relationships
Ability to maintain confidentiality of customer information
Ability to use agency automated systems
